What is an ATS, and what does it do with your resume?

An ATS (applicant tracking system) is the software an employer uses to collect job applications, store them, and let recruiters search, sort and move candidates through hiring. It reads the text of your resume into a candidate profile. In most setups a person still decides who gets an interview.

What an applicant tracking system is

An ATS is a database with a workflow on top. Every application for every job lands in one place, and the hiring team uses it to see who applied, read resumes, leave notes, schedule interviews and send emails. "ATS" and "ATS system" mean the same thing (the "system" is said twice).

The articles that rank for this question are mostly written for the companies buying the software. This page is for the other side of the form: what happens to your application.

What happens to your application, step by step

  1. You apply. You fill in a form on the employer's careers page or a job board, upload your resume and answer a few questions.
  2. The system parses your resume. It pulls the text out of your file and tries to sort it into fields: name, contact details, job titles, employers, dates, education, skills. This is where a resume can go wrong. If a two-column layout makes the text come out in the wrong order, or a heading is an image, the profile it builds can be incomplete.
  3. Your application is stored. Your profile, your file and your answers sit in the database, attached to the job. Your original file is usually kept too, so a recruiter can open it as you designed it.
  4. Knockout questions are applied, if the employer set any. These are yes or no questions on the form: "Are you authorized to work in the US?", "Do you hold a current RN license?" Some systems can reject automatically on a wrong answer. Greenhouse, for example, documents an "auto-reject" rule that works on answers to the employer's application questions. It is your answers that count here, not your resume.
  5. Recruiters search, filter and sort. A recruiter might look at applications in the order they arrived, or search for a job title, a skill or a city. Some employers also turn on ranking or matching features that order candidates by fit. This is where the words on your resume matter: if you call a skill something else, a search may not bring you up.
  6. A person reviews. A recruiter or hiring manager reads the resumes that made it to the top of their list and decides who to call. Of 25 recruiters interviewed by Enhancv in September and October 2025, 23 said their systems do not reject resumes on their own for formatting, content or design.

So when a resume is never seen, the usual reasons are the boring ones (more in do ATS systems reject resumes): hundreds of people applied, the recruiter stopped reading after the first few dozen, or the resume did not match what they searched for.

Common applicant tracking systems

You will see these names in the address bar when you apply: Workday, Greenhouse, Lever, iCIMS, SAP SuccessFactors, Oracle Taleo, Ashby, BambooHR and SmartRecruiters, among others. Each employer configures its system differently, so two companies on the same software can treat applications very differently. Knowing which one a company uses tells you less than you might hope.

What "ATS-friendly" really means

An ATS-friendly resume is one the software can read into a correct profile, and one a recruiter's search will find. In practice:

None of this means an ugly resume. Clean type, clear headings and good spacing read well for software and people alike.

What an "ATS resume" is

There is no special resume format called an "ATS resume". The phrase just means a resume written and laid out so the software reads it correctly: one column, standard headings, real text, and the skills and titles the job asks for. An "ATS-optimized" or "ATS-compliant" resume means the same thing. If someone sells you an ATS resume as a separate product, what you are paying for is a clean layout and good wording.

How to see what the software sees

Do all employers use an ATS?

Not all of them. But if you applied through a careers page with a form and an upload button, or through a large job board, your application very likely went into one.

Does an ATS read PDFs?

Modern systems read text-based PDFs well. Problems come from scanned PDFs, text inside images, and layouts where the reading order gets scrambled. Some employers still ask for Word files, so follow the posting.

What is ATS screening?

Usually it means the knockout questions on the application form, or a recruiter searching and filtering inside the system. Some employers also turn on automated ranking or matching. It rarely means a robot reading your resume and deleting it.

Is an ATS score real?

Employers do not see a universal ATS score, because there is no such thing. Scores from resume checkers, including ours, are estimates of how readable and relevant your resume is. Use them to find problems, not as a verdict.
